We are currently seeking a part-time Office and Dispatch Coordinator to support our physical office operations in London, as well as a Server Maintenance support.

Office Support and Dispatch Coordinator

Introduction

The Office Support and Dispatch will be an essential part of our operations team, focusing on the management of postage, dispatch, storage, and data management tasks. This role is designed for an individual who is physically fit, organised, and possesses a keen eye for detail. 

The individual will play an important role in ensuring our materials are efficiently managed and our operational processes run smoothly. Basic rate is £15 / hour.
Training will be provided to familiarise you with the storage facilities and systems.

Responsibilities

• Physical management of print materials: Prepare and dispatch letters and parcels, and manage the storage of print materials. This includes manual lifting of boxes and transporting materials to physical events as required.

• Liaison and administrative support: Work closely with our Programme Director, David Lorimer, on small-scale dispatch tasks and manage the recording of expenses for upload to our Google Drive system. Directly report to our General Manager, Andrew Polson, for overarching tasks and objectives.

• Digital and physical data management: Become proficient in the management of both digital and physical storage systems, including our online data management system, Google Drive. Organise, store, and accurately record important documents such as contracts and minutes of Board Meetings.

• Cataloguing and reorganisation of storage space: Due to an emergency move following water damage to our previous storage units, there is an immediate need for the meticulous cataloguing and organisation of our materials in the new storage space. The successful candidate will be responsible for assessing the current state of stored materials, developing an efficient organisation system, and ensuring all items are catalogued accurately to facilitate easy access and prevent future damages.

• Preparation and generation of address labels and printer management: Take responsibility for generating address labels for our Paradigm Explorer journal using our printer, which includes maintaining the printer to ensure it is always operational.

• Regular post collection: You will be tasked with the regular collection of post. This entails visiting our designated postal collection points to ensure timely retrieval of all correspondence and parcels, and keeping a detailed record of received items and ensuring they are appropriately distributed or actioned within our organisation.

Requirements and Skills
  • Demonstrable physical strength and confidence in handling and transporting materials.
  • Room to host an office printer and moderate despatch materials for label generation, ideally a spare office or the corner of a spare room
  • Experience in administrative roles with a focus on logistics, storage management, or similar fields.
  • Familiarity with digital data management systems, preferably Google Drive, and the ability to organise digital information efficiently.
  • Excellent communication skills and the ability to liaise with team members and external partners effectively.
  • Ability to travel across London for the transportation of materials to various events.
  • Alignment with the values and mission of the Scientific and Medical Network, with a passion for contributing to our community’s engagement and growth.
  • A proactive approach to problem-solving and the ability to work independently under minimal supervision.

Server maintainer

Introduction

The Scientific and Medical Network (SMN) is looking for a trustworthy, easy-going individual to help out with the backend server maintenance. Your role will be to provide support in case the current server administrator isn’t available and the server needs attention.

If you are passionate about server maintenance, know your way around the command line, can debug and fix problems to keep services up and running, fully support the SMN vision, are open to learning and sharing knowledge, then check out the details below and get in touch. Basic rate is £20 / hour.
Training will be provided to familiarise you with the existing backend setup.

Responsibilities
